1. ENROLLMENT
Please read over the following policies. For online purchases made
prior to May 1, 2008, clients may choose to pay 50% of the program price.
The remainder will be charged on May 2, 2008. All hard copy registrations
must be paid in full. Please make checks payable to Adventure Links. A
fee of $35 will be assigned to any returned checks received. Registrations
received before March 1, 2008 will receive a $25 discount (limited to one
discount per family). Camp change fee of $35 will be assessed for each
camp session change. By enrolling in a program, it is understood that all
policies have been read and understood.
2. CANCELLATIONS & REFUNDS - DAY & OVERNIGHT CAMPS
Due to high demand, cancellations of Day Camps and Overnight Camps prior to May 1st will result in a $100 cancellation fee, with the remainder refunded to you. Cancellations for Day Camps and Overnight Programs must be made prior to May 1, 2008. Cancellations made after May 1, 2008 receive no refund. Cancellations made after May 1st due to long term illness/injury must be accompanied by a doctor’s note for a $100 cancellation fee with the remainder refunded. Cancellations made after May 1st due to short term illness/injury must be rescheduled for the same summer at the fee of $35.
3. CANCELLATIONS & REFUNDS - TEEN EXPEDITIONS
Expedition deposits of 50% are non-refundable. If registration is completed
online prior to May 1, 2008 and payment is made by credit card, a 50%
deposit is accepted. Otherwise, payment is due in full. Applications received
after May 1, 2008 should include payment in full and are not eligible for a refund.
4. CAMP SESSION TRANSFERS
No camp session transfers are allowed within two weeks from the start date of your camp session. Expedition registrants can only transfer into other Expedition camp sessions or tuitions are forfeited.
For those transferring to a similar value camp program (Day Camp to Day Camp or an Overnight Camp to Overnight Camp), a $35 camp change fee will be assessed. For those transferring to a lesser valued camp program (Overnight Camp to Day Camp), a $100 camp change fee will be assessed.
After May 1, 2008: No tuition refunds will apply to transfers from Overnight Camp to Day Camp programs. Once the transfer has been completed, a registrant may use any remaining tuition balance toward another camp session in Summer 2008. Otherwise, remaining tuition is forfeited.
5. TUITION REBATES
We do not issue tuition rebates for late arrival, early withdrawal, missed days, illness,
accident, or dismissal during any of our camps or expeditions due to the
high demand for our summer programs. Transportation costs accrued due to
early withdrawal/dismissal will be borne by the parent(s).
6. BEHAVIOR REGULATIONS
Safety is of paramount importance to Adventure Links. In order to maintain
our excellent safety record, it is important that campers wear helmets,
harnesses, life vests, seat belts and all other safety equipment as advised
by the staff. Disruptive behavior, physical aggression, violence of any sort,
inappropriate language, the use of alcohol, drugs, or tobacco products, or
the disrespect of others/their property will not be tolerated and will result in
immediate dismissal from the program. Transportation costs due to dismissal
with cause will be the responsibility of the parent(s).
7. ITINERARIES
Adventure Links follows the program itineraries as closely as possible.
Occasionally, unpredictable weather conditions, permit status, group
dynamics or other circumstances necessitate itinerary modifications.
Adventure Links reserves the right to alter sites or activities when necessary
and provide appropriate substitute activities or locations.
8. TRANSPORTATION SERVICES/ADDITIONAL PICK UP SITES
Adventure Links provides pick-up/drop-off sites in Northern Virginia for
Ultimate Adventure Day Camps. Please refer to the Day Camp Schedule
for a complete list of pick-up locations. Some sites are only available during
select weeks, please call 800-877-0954 with any questions.
9. EQUIPMENT
Adventure Links provides all activity equipment unless indicated otherwise
on the “What to Bring” lists for a particular camp. Campers are asked
to provide personal gear such as a sleeping bag and pad, backpack
and appropriate outerwear for the weather conditions we will encounter.
Backpacks are available to rent for a nominal fee. Equipment damage or
loss costs are the responsibility of the parent(s).
10. FOOD
Adventure Links provides all drinks and food for overnight programs.
We provide nutritious, healthy, age appropriate and appealing meals.
Vegetarian alternatives are provided and special dietary restrictions are
considered in the planning process for each camp or expedition. Food and
drinks are not provided for Day Camp programs.
11. CAMPER TO STAFF RATIO
The camper to staff ratio for Day Camps is approximately 8:1, 5:1 for
Overnight Camps, and 7:1 for Expeditions.
12.PROMOTIONAL RELEASE
Upon enrolling in an Adventure Links program, the parent/guardian and
applicant authorizes Adventure Links to the use of photos, quotes or video
footage from camp programs for the purpose of marketing.
13. INSURANCE
The parent/guardian is responsible for any medical expenses or
transportation costs related to a camper’s illness, accident or departure from
the program. In addition, Adventure Links is not responsible for theft, loss or
damage to personal property.
14. PROGRAM CANCELLATION OR TERMINATION
Adventure Links reserves the right to cancel a program. In the very unlikely
event that this would occur, Adventure Links shall refund tuition paid. In
the case of a terminated program, the remainder of unused tuition will
be refunded. Operating expenses such as camp permits, food, staff, and
reservation fees are calculated as a total group cost not on a per-camper basis.
15. SUBCONTRACTORS
For some overnight and expedition programs, Adventure Links employs
the services of other reputable and professional companies for specific
activities. Often, such subcontractors require additional paperwork from our
participants. We thank you in advance for your cooperation.
16. CELL PHONES & ELECTRONICS
Camper cell phones are not allowed while on Adventure Links programs. Additionally, electronics such as iPods, game boys and other valuable item can be lost or damage, please refrain from allowing your children to bring these items to camp. Adventure Links is not responsible if any electronics are damaged or lost.
17. CONTAGIOUS DISEASE
Please refrain from sending your child to camp with a contagious or infectious disease. Adventure Links will take reasonable precautions or measures to contain or prevent the spread of infectious or contagious diseases. However, it is the responsibility of the guardian or parent to inform Adventure Links of any contagious disease your child may be experiencing and take appropriate measures to treat your own child for the given condition.
