Customer Experience Coordinator

Customer Experience Coordinator (Full-Time)

Position Overview: The Customer Experience Coordinator manages a positive, efficient, and memorable client experience from the point of inquiry to finalization of client participation, post program.  The CEC manages both group and individual program inbound sales and leads.  Specifically, the CEC manages phone inquiries, program questions, drafting and finalization of contracts, invoicing, waivers, and coordinates with the Assistant Program Director for trip books and itineraries. The CEC is also responsible for inbound summer camp calls and emails, ensuring that parents are proactively informed and have a pleasant and efficient interaction with Adventure Links when inquiring or registering for camps. The CEC will prepare and process all camp paperwork in preparation of each week’s sessions.
About You: Those best suited for this role and a position within the Adventure Links’ culture have an interest and ability to work independently, enjoy establishing personal accountabilities to achieve results, and consistently manage the effective use of time and obligations.  Multiple and diverse tasks are viewed as exciting and with this, the ability to effectively streamline efforts is critical to the success of the role.  The role requires living in the Washington DC metro area as our head office is in Clifton, VA.  A strong familiarity with Northern Virginia is an asset.  The strong customer service elements of the position require a confidence, enthusiasm, collaborative attitude, and a knowledge of the possibilities of a client experience with Adventure Links. Customer service experience as well as the ability to effectively coordinate and collaborate with fellow team members is essential.  Applicants should prepare to work at Adventure Links’ farmhouse office in Clifton, VA, telework is not available on a consistent basis for this position. Applicants should have experience with Microsoft Office, and feel comfortable learning CRM, and QuickBooks. Applicants should have an appreciation of the outdoors, summer camp, team building, and corporate business development.
Principal Duties and Responsibilities (Essential Functions**):
Group Sales
  • Serve as sales point of contact for group programs
  • Work collaboratively with Group Sales Manager to achieve sales goals
  • Provide tours and pre-program information to groups
  • Answer all group sales phone calls
  • Coordinate with Assistant Program Director to schedule program needs including: staffing, gear, vehicles, food service, and facilities.
  • Manage client experience from inquiry to post-program follow-up
  • Maintain accurate participant numbers and invoices
  • Maintain CRM and group management software
  • Work with Bookkeeper to process accounts receivable and process incoming payments
 
Camp Sales
  • Answer all camp related sales emails and phone calls
  • Manage camp paperwork
    • making sure parents have completed the paperwork
    • print and organize for each week’s sessions
  • Coordinate campers and invoicing with Fairfax County Park Authority
  • Manage coupons and financials in camp software
  • Manage parent accounts in camp software

Supervision Received: This role will report directly to the Operations Director until the filling of the Group Sales Manager role. The CEC is expected to self-align and manage their time. Quarterly and Yearly goals/priorities will be set. Daily priorities should be self-managed. Daily to weekly updates will be provided to the Operations Director or GSM.
Experience Required:
  • Previous sales and customer service experience, 1-2 years
  • Knowledge of Washington DC/Northern Virginia
  • Proficiency with Microsoft Office and Contract completion
  • Proficiency, or ability to learn CRM, Camp Software, and QuickBooks

Three Season Instructor (Spring-Fall)

Northern Virginia - Three Season Instructor (Spring-Fall)

Duration: 8 Months Start Date: April 3rd, 2017 End Date: November 19th, 2017 Job Details: During the spring season instructors mainly lead team-building and environmental education programs with school age youth groups. During our summer season staff members lead summer camp programs or group programs. On weeks that are not full with programs, supplemental hourly work will be available. During our fall season staff members lead our group programs. Hourly work relates to current Adventure Links programs or facility projects. Housing: One of the major benefits of Adventure Links is the ability to live on-site, in small dorm like buildings on 235 acres of beautiful park land, with a community of peers. Along with this staff housing we offer a community kitchen/ bathroom with showers, laundry and wireless internet. Participating in this lifestyle is often a significant growth experience for our staff members. Application Deadline: Applications are accepted year-round. Qualifications:
  • Minimum 21 years old. College degree in related field preferred.
  • WFA and CPR Minimum. WFR expected by second year of employment. Staff members with WFR certification are given preference on overnight and expedition programs.

Northern Virginia - Summer Camp Instructor

Duration: Three Months

Start Date: June 2, 2017 End Date: August 31, 2017

Job Details:

As a member of our summer staff, instructors facilitate week long outdoor adventure Day Camps, Residential Camps & Traveling Overnights for youth (8-14). Instructor teams facilitate a new adventure pursuit each day and lead groups of 14 participants as they explore a variety of outdoor recreation sites in Northern Virginia, Maryland and West Virginia.

Housing:

One of the major benefits of Adventure Links is the ability to live outside, in a platform tent, with a community of peers on 325 acres of beautiful park land. We also offer a community kitchen/ bathroom amenities, laundry and wireless internet. Participating in this lifestyle is often a significant growth experience for our staff members.

Application Deadline:

Applications are accepted year round.  The hiring process for summer of 2017 will begin in December of 2016 for selected applicants.

 

Qualifications:

  • Minimum 18 years old
  • First Aid and CPR Minimum. WFA/WFR expected by second year of employment. Staff members with WFR certification are given preference on overnight and expedition programs.
  • Experience working with youth in a leadership role.
  • Training in outdoor leadership or significant personal outdoor experience.
  • Desire to develop as an outdoor leader and facilitator.
  • Flexible, good humored and personable.

  • Lifeguard and CPR Minimum. WFA expected by second year of employment. Staff members with WFR/WFA certification are given preference on programs.
  • Experience working with youth in a leadership role. Training and experience relating to outdoor leadership, experiential education or classroom teaching is preferred.
  • Flexible, good humored and personable.
  • Invested in running quality Outdoor Education programs and developing skills as a facilitator and outdoor leader.
  • Strong work ethic, responsible and accountable.
  • Preference is given to applicants who are able to work for the entire length the employment period.
Essential Functions:
  • Work full and active days outside in the elements.
